Communicating and Conquering Events

Happy first week of October! We can’t believe we are already four days into October. Time flies when you have fun – and time is seriously flying for us here at Amplify! In our last blog post, “3 Events, 2 Gals, 1 Crazy Weekend”, I talked about a busy event weekend consisting of 2 private dinners and wedding all in 2 days time. If you haven’t read it yet, you should!

Being an event planner, one of the most important things you should always do is stay organized. And on a weekend with multiple events in different places, it is even more important. The two main things we made sure to do during a double booked weekend was to have great communication skills, and divide and conquer. With these two tricks, so many things sprinkle down from them.

The more communication you have with your vendors, clients, and even coworkers during planning, the LESS stress you will have during the event and the preparation leading up to it. Communication is key in almost every scenario I can think of. Maintaining communication from start to finish in event planning, or any other profession, is crucial if you want everyone involved to be in agreement. Sometimes when there are multiple people working for the same end goal, communication lines don’t always stay as open as they should, or the inevitable game of “Telephone” happens where one person tells someone something, then they tell someone else something and so on… until the information the last person heard is nowhere near the same thing as the original. It’s important to consistently stay in touch with your vendors and anyone involved in the event so that the “Telephone” game can be avoided and everyone can stay on the same page. If you go into an event with excellent communication you will almost always be going into it with high organization and low stress.

Dividing and conquering is important not only in the workplace, but especially important when doing an event. A lot of people would think that if everyone set up the same decoration at the same time, that it would go faster. Well technically yes, that specific task would. BUT, when there are candles, flowers, napkins, chargers, decorations etc. to set up on each table, dividing and conquering is the way to go. If you have a team of 10 people for an event, assigning each person a different task gets more accomplished at once, which in the end will save you a TON of time and unnecessary stress! This method of productivity is awesome because everyone has a task and nobody is left with nothing to do. People like to feel useful and that they are doing something with a purpose, dividing the tasks among everyone involved does this, and the results get you closer to your end goal and happy people! And who doesn’t love happy people and reaching goals?
